Insurance clarification.
Any company/business or organization that charges or uses materials that will advertise for a service or a product in the course of doing business on a daily basis should provide a Certificate of Insurance. Businesses normally have liability insurance or can obtain one. For those true non-profits and community organizations there is an alternative, that being an Insurance Waiver. Please note that most non-profits understand and do have the ability meet the MCCCD Insurance Certificate requirements. We have the ability to view current Certificates that are on file with the District via the Legal Dept. District web page, http://www.maricopa.edu/legal/search_insurance/index.html. 
; There is a small chance that some of the attendees already have a current certificate on file at the district level. That being said, if you are working with a group that claim to already have a certificate on file that may be what they are referring to, the information will just need to be verified.
All Insurance Waivers must be approved by Dr. Green. ( See Attached). Perhaps a master can be created with the general information for the event and then the variables added as needed ? Please allow ample time for her to review/sign off and return to the initiator as the waiver must be in place prior to the date of participation. My suggestion would be that each committee member be responsible for the follow-up needed for each of their invitees as they will have already established the rapport with their contacts.
If a certificate or waiver is not in place, participation will be denied so would be prudent to determine a cut off date ? Not only for certificates but to allow time for the creation of work orders, etc. for set up.
Looking at the vendor list, these are a couple suggestions I have. I don't have the know how to accomplish this I would have done it. (Technically challenged)
Ideally it would be great to be able to add a few additional columns to run in the background for housekeeping purposes.
Columns should be included to confirm we have:
#1 Received their insurance *_OR _ *Dr. Green has signed an insurance waiver ( copy attached) ,
#2 Number of tables they are requesting( no more than 2) ,
#3 Whether or not they will need electricity ( there are a limited number electric sources).
Any others ??????
And last but not least, those organizations that will need to drive on to campus to set up/bring materials will need an escort from College Safety. Please direct those organization to call College Safety (X53535) as the approach campus to request an escort. Entrance will be off of 59th Ave. at the horseshoe drive as that is the only sidewalk that has the structural support for the weight.
